Erasmus+ grant conditions

 

Duration

Students planning a full-time traineeship (more than 35 hours/week) in an EU country given below, are eligible to apply.

Erasmus+ traineeships last between 60 days and twelve months. In total, students can be funded for up to 36 months for Erasmus+ traineeships and/or studies:

- up to twelve months in each of the Bachelor's, Master's and doctoral programmes,
- the funding can be split and used more than once within a study cycle (e.g. twice for six months).

Erasmus+ allows a combination of traineeships and studies:

- Students can do a traineeship in a company or other institution and study at a higher education institution within the same study cycle.

Graduating students are eligible for an Erasmus+ graduate traineeship.

Calculation and disbursement

The grant is calculated on base rates per day:

- Before the start of the traineeship, the host institution confirms the planned number of days of stay in the Letter of Acceptance, which is used to calculate the provisional grant.
- After the end of the traineeship, the host institution confirms the final number of days of stay in the Confirmation of Stay, which is used to calculate the final grant.

The grant is disbursed in two instalments:

- The 1st instalment (70%) is disbursed before the start of the traineeship.
- The 2nd instalment (30%) is disbursed after the end of the traineeship.

Erasmus+ grant reimbursement

 

Reimbursement cases

- If the required documents are not submitted or not submitted on time as agreed in the Grant Agreement, the grant must be reimbursed.
- If the stay does not begin as agreed in the Grant Agreement or is terminated prematurely, the grant must be reimbursed.

Reimbursement procedure

- The Department International Student Affairs will send out a notice giving four weeks to reimburse the amount.
- If no reimbursement is made, the file is passed on to Division 3: Legal and Academic Affairs, which initiates a reminder procedure. Reminders are sent with a short deadline. If the deadline is not met, enforcement proceedings are initiated.

Students can continuously apply for an Erasmus+ traineeship grant for stays during the current academic year.

For the 1st instalment of the Erasmus+ grant

to be submitted by e-mail prior to the stay abroad

For the 2nd instalment of the Erasmus+ grant

to be submitted by e-mail after the stay abroad

1) Letter of Acceptance

- The Letter of Acceptance indicates the planned start and end dates of the traineeship.
- Based on the confirmation of the host institution, the number of days of stay and thus the provisional Erasmus+ grant is calculated.

1) Confirmation of Stay

- The Confirmation of Stay indicates the actual start and end dates of the traineeship.
- Based on the confirmation of the host institution, the number of days of stay and thus the final Erasmus+ grant is calculated.

2a) Learning Agreement, Table A

- By signing the Learning Agreement for Traineeships, students confirm that they will complete the traineeship programme described in Table A at the host institution.
- With their signature, the host institution confirms that they will carry out the described traineeship programme with the student.

Changes must be documented and signed in Table A2 within one month of the start.

2a) Traineeship certificate

Confirmed by the host institution in the traineeship certificate:
- Detailed programme for the traineeship period, including the tasks carried out by the trainee.
- Acquired knowledge, skills (intellectual and practical) and competences (learning outcomes achieved).
- Evaluation of the trainee.

2b) Learning Agreement, Table B

- With its signature, the University of Siegen confirms that it will recognise the traineeship at the host institution described in Table A in the manner described in Table B.

2b) Proof of Recognition

- The students submit the Learning Agreement and the traineeship certificate to the Examination Office .
- The recognised traineeship is confirmed by the University of Siegen in the certificate of recognition. The proof of recognition is provided e.g. in the form of a "Leistungsübersicht" from unisono.

In case of complaints about recognition, students first contact the Department International Student Affairs. If recognition is refused as agreed in the learning agreement, a review of the decision can be requested by the Rectorate, which can make a recommendation to the relevant examination board. Furthermore, there is the possibility of a formal appeal procedure.

3) Online Language Support language assessment (EU)

All students (except first and second language speakers) will receive the link by email.
An account has to be created to take the language test. You find further information in the Online Language Support Quick Guide issued by the National Agency.

3) Participant Report (EU)

- All students will receive the link by e-mail.
- The questionnaire is filled out carefully and responsibly.

4) Grant Agreement

- Students receive the Grant Agreement by e-mail and print it out.
- They check their personal data and carefully take note of the agreed conditions.
- The signed original document is sent by post to the Department International Student Affairs.

4) Testimonial

- The students write a report on their experiences, possibly with photos and anonymously if they wish.
- The testimonials are made available on the website to interested students.
