Faculty-Led Study Trips

Ocasionally, departments also offer faculty-led study trips abroad. The organizing faculty can apply for funding for participating undergraduate, graduate and PhD students through the PROMOS program.

The funding includes a daily grant of 45 Euros per person for a maximum duration of 12 days. The number of participating students should not exceed 15 persons. If sufficient funding is available, larger groups may be funded.

During the study trip, in addition to imparting subject-related knowledge and gaining insight into the host country, the focus should be on the encounter between students and researchers.

 

Application by Faculty Members

Applications for funding for a study trip will be accepted from December 1, 2023 to January 15, 2024 for field trips abroad in the 2024 project year. If additional funding is available, these funds will be announced in the summer semester.

The selection decision are announced within 4 weeks after the application deadline. First-time applications and study trips for which no PROMOS funding has been awarded in the past two years will be given priority in the selection process.

Online Application

Applications can be submitted via the MoveON Staff Mobility and Study Trips Portal. Application deadline is January 15, 2024 for field trips in the project year 2024 (January to December 2024).

Documentation of PROMOS Study Trips

The planning and execution of the study trip requires is documented by the following program documents which mit be submitted by E-Mail. Please check our PROMOS-Guidelines (in German only) and our PROMOS Study Trip Overview  for further information.

BEFORE DEPARTURE

Preliminary List of Participants (Template)
If a preliminary list of participants was not included in the initial online application, the List of Participants (Template)(without the participants' signatures) must be submitted by e-mail before departure. The list is used to calculate the planned amount of funding.

Business Travel Authorization
The organizing faculty member completes the Business Travel Authorizationand have it signed by the supervisor, if applicable. The signed hard copy is sent via in-house mail to 1.2 Finance Department. A soft copy is submitted at the International Office by email.

Finale Teilnahmeliste
The final and signed List of Participants (Template) includes the details and signatures of all participants of the study trip.
Upon receipt of the list, students and doctoral candidates will receive an invitation to register via the MoveOn Outgoing Portal.

Travel Expense Claim
The organizing faculty member fills out the travel expense claim. The signed hard copy and the hard copy of the business travel authorization is sent by in-house mail to 1.2 Finance Department. A soft copy is submitted at the International Office by email.

Excursion Authorization
The organizing faculty member completes the excursion authorization . The signed hard copy document is sent via in-house mail to 1.2 Finance Department. A soft copy of the excursion authorization is submitted at the International Office by email.

Report
The organizing faculty member compiles a travel report summarizing and evaluating the objectives, contents and the course of the study trip. The travel report is submitted to the International Office by e-mail.

Grant Payment

Daily grants are paid after the completion of the study trip.

Students who have confirmed their participation by signing the participation list receive an email from the International Office with information on how to register via the MoveON Outgoing Portal. The bank transfer will then be made to the personal bank accounts of the participants.
