Erasmus+ Traineeship Grant

Conditions of the Erasmus+ grant

 

Duration

An Erasmus+ traineeship lasts between 60 days and twelve months. In total, students are funded for up to 36 months for Erasmus+ traineeships and/or studies:

- up to twelve months in Bachelor's, Master's and doctoral programmes,
- the grant can be split and used several times within a study cycle (e.g. twice for six months).

Erasmus+ allows a combination of traineeships and studies:

- Students can do a traineeship in a company or other institution and study at a university within the same study cycle.

Graduate students are funded in the framework of an Erasmus+ graduate traineeship.

Calculation and payment

The Erasmus+ grant is calculated to the day:

- Before the start of the traineeship, the host institution confirms the planned number of days of stay in the Letter of Acceptance, on the basis of which the provisional grant is calculated.
- At the end of the traineeship, the host institution confirms the definite number of days of stay in the Confirmation of Stay, on the basis of which the final grant is calculated.

The Erasmus+ grant is paid in two instalments:

- The 1st instalment (70 percent) is paid before the beginning of the traineeship.
- The 2nd instalment (30 percent) is paid after the end of the traineeship.

Repayment of the Erasmus+ grant

 

Repayment cases

- The grant must be repaid if the required documents are not submitted or not submitted in time as agreed in the Grant Agreement.
- The grant must be repaid if the stay is not commenced or prematurely terminated as agreed in the Grant Agreement.

Repayment procedure

- The Department International Student Affairs sends a reclaim notice giving four weeks time to pay back the amount.
- If no repayment is made, the file of the grantee is handed over to Department 3: Legal and Academic Affairs, which initiates a dunning procedure. A first and a second reminder are sent, each with a two-week deadline, followed by enforcement proceedings.

1) Letter of Acceptance

- The Letter of Acceptance states the planned start and end dates of the traineeship.
- On the basis of the confirmation by the host institution, the number of days of stay and thus the provisional amount of the Erasmus+ grant are calculated.

1) Confirmation of Stay

- The Confirmation of Stay states the definite start and end dates of the traineeship.
- On the basis of the confirmation by the host institution, the number of days of stay and thus the final amount of the Erasmus+ grant are calculated.

2a) Learning Agreement, Table A

- With their signature in the Learning Agreement for Traineeships the students confirm to complete the traineeship described in Table A at the host institution.
- With their signature, the host institution confirms to carry out the traineeship described in Table A with the students.

2a) Traineeship certificate

In the Traineeship certificate is confirmed by the host institution:
- Detailed programme of the traineeship period including tasks carried out by the trainee.
- Knowledge, skills (intellectual and practical) and competences acquired (achieved Learning Outcomes).
- Evaluation of the trainee.

2b) Learning Agreement, Tabelle B

- With their signature, the University of Siegen confirms to recognise the traineeship at the host institution described in Table A at the University of Siegen in the manner described in Table B.

2b) Recognition certificate

- The students submit the Learning Agreement and the Traineeship certificate to the Examination Office.
- In the Recognition certificate, the recognised traineeship is confirmed by the University of Siegen. The Recognition certificate is provided, for example, with a Leistungsübersicht from unisono.

Regarding complaints about the recognition, students contact the Department International Student Affairs. If the recognition, as agreed in the Learning Agreement, is refused, a review of the decision may be requested at the Rectorate, which, if necessary, makes a recommendation to the relevant examination board. There is also the possibility of formal appeal procedures.

3) OLS language assessment (EU)

- All students (except first and second language speakers of the teaching language) receive the link by e-mail.
- An account is created to take the language assessment.

3) Participant Report (EU)

- All students receive the link by e-mail.
- The survey is filled out carefully and responsibly.

4) Grant Agreement

- All students receive the Grant Agreement by e-mail and print it out.
- They check their personal data and carefully note the agreed conditions.
- The signed original document is sent by post to the Department International Student Affairs.

4) Travel Report

- All students write a travel report, possibly with photos and, if desired, anonymously.
- The travel reports are made available to interested students on the portal of stay opportunities.
