Program Documents

Participants of the overseas exchange programme need to document their studies abroad. Programme documents have to be submitted before and after the stay.

 

Before the Stay Abroad

 

1) Letter of Acceptance

Once the partner university has accepted the application, a Letter of Acceptance is issued and sent to the student by e-mail.

A copy of the Letter of Acceptance has to be submitted by e-mail before departure.

2) Study Proposal

Students document their planned studies abroad and planned credit transfer in a Study Proposal for Academic Stays Abroad.

The document must be signed by the student and the respective contact persons at the University of Siegen and the partner university. A copy of the signed document must be submitted by e-mail. You find further information in our Study Proposal Guidelines website Courses and Admission

Changes to the Study Proposal have to be documented and submitted within 4 weeks after the start of the studies abroad.

3) Confirmation of Arrival

The Confirmation of Arrival documents planned start date  as well as the form of learning (in-person, online, blended) during overseas exchanges abroad. The start date refers to either start of orientation programme or start of lecture period abroad.
The document must be signed by the partner university. A copy has to be submitted by e-mail before departure.  

4) Confirmation of Enrollment

All students must be enrolled at the University of Siegen during their studies abroad. A valid confirmation of enrollment for the semester of exchange must be submitted at the beginning of the Siegen semester .

The confirmation of enrollment (Studienbescheinigung) can be downloaded in unisono in the "My studies" section under "Student Service" and "Reports".

Optional:
After receiving the certificate of study from the host university, a semester of leave can be applied for in the International Registrar's Office.

 

After the Stay Abroad

 

1) Confirmation of Departure

The Confirmation of Departure indicates the end date of the stay abroad for academic purposes (last day of lecture period or last exam) and document changes in the form of learning, if applicable.
A copy has to be submitted by email at the end of the stay abroad or shortly after return.

2) Transcript of Records

In the Transcript of Records, the study programme completed by the student is confirmed by the host university.
Once the document has been issued by the partner university, a copy has to be submitted by e-mail.

If less than 15 ECTS per semester were completed during the studies abroad, a statement will be issued to determine whether the grant must be reimbursed.

3) Proof of recognition

Students submit the Learning Agreement and the Transcript of Records at the Examination Office . 

The transfer of credits is confirmed by the University of Siegen in the certificate of recognition. The proof of recognition is provided e.g. in the form of a  List of Achiecements (Leistungsübersicht) on unisono.

In case of complaints about recognition, students first contact the Department International Student Affairs. If recognition is refused as agreed in the learning agreement, a review of the decision can be requested by the Rectorate, which can make a recommendation to the relevant examination board. Furthermore, there is the possibility of a formal appeal procedure.

4) Testimonial

The students write a report on their experiences based on the template.
The testimonials may be published on the website of the Department International Student Affairs.

5) Scholarship Agreement (PROMOS Scholarship Holders)

Students participating in the PROMOS or Eramsus+ International program receive the Grant Agreement by e-mail and print it out.
Check your personal data and carefully take note of the agreed conditions.

The document must be signed by hand and has to be submitted by post. Digital copies or signatures will not be accepted!
