sciebo

University cloud

sciebo is a non-commercial, free cloud storage service for research and teaching that offers the possibility to store, structure and collaborate on large files via shared folders.

The university cloud sciebo offers 30 GB of free storage space for all university members.
employees can increase the volume up to 500 GB if required.

The data is stored and processed exclusively at three university locations in NRW. It is specially protected by the strict German Data Protection Act.

You can access your data via the web interface, the Nextcloud desktop client
or via the sciebo app
to access your personal file area (see download below).


Teamwork

Easily share files and folders with other people in your team or with guests
via flexible sharing options - with password protection and for a limited time if required.

Collaborative working

The Collabora online office integrated in sciebo enables the (joint) creation and simultaneous editing of text, presentation and spreadsheet documents during a virtual meeting, consultation or conference.

Very large amounts of data? Project boxes can help!

For working groups with very large amounts of data or for long-term projects, employees can apply for so-called "project boxes" with capacities of up to 2 TB (see also "Other information" below).

 

NOTE: sciebo is NOT a backup system! Always back up important data on at least one other storage medium!


Prerequisites

Active ZIMT account (university user ID with corresponding password).
With this user data, you must register once with sciebo at https://hochschulcloud.nrw/.

Useful information

The LaTeX editor Overleaf is also integrated into sciebo. You can access it by clicking on the Overleaf symbol in the upper sciebo menu bar.
Please note: This free version of Overleaf is a Service As Is.

A sciebo account is initially valid for 12 months. After that, re-authentication (for a further 12 months) is required in the personal "My Sciebo" area.

The account can be extended as long as you belong to the circle of authorized users at the university.

After this period has expired without re-authentication, a 6-month grace period begins: Within these 6 months, the user can use the service without restriction. After the 6 months, the account will be blocked for a further 3 months. The block can be lifted again by sending an email to the support team. After the 3-month blocking period has expired without re-authentication, the account will be deleted.

All users will be informed several times by email before their accounts expire, are blocked or deleted:

  • 6 weeks before the account expiration date
  • 1 day before the account expiration date
  • 6 weeks before the account lock date
  • 1 week before the account lock date

For example, you can use the cryptomator tool to encrypt important data. The software can be downloaded at https://cryptomator.org/de/
(available for Win, MacOS, Linux, Android and iOS).

How does cryptomator work?
  • Start cryptomator and select "Create vault" via [+].
  • Create a new folder in sciebo to serve as a vault for your data and click on "Save".
  • Set a secure (!) password (Note the hint! Write down the password and keep it safe. If you forget the password, you will not be able to recover it - your data will be lost!) Click on "Create vault".
    The "vault" is mounted as a new virtual network drive.
  • Open or unlock the vault by entering the password. An empty file folder opens.
  • Now drag and drop your files to be encrypted onto this empty file folder or save your documents under the specified drive name.
  • cryptomator performs the encryption transparently in the background (Within your cloud storage, you can now see how your files, or their encrypted variants, are stored in the folder marked as a "vault". It is not possible to draw conclusions about file names or folder structures).
  • Close the folder now filled with your data and close the "Tresor" by clicking the "Lock Tresor" button.
Removing the vault

The [-] button at the bottom left only deletes the safe from the list of possible safes. Delete the safe securely from your sciebo account.

Make sure that the safe no longer contains any important data before finally deleting it.

For uploading, especially large files, you should always use the Nextcloud desktop client. The desktop client is used like a conventional (Windows/Apple/Linux) file folder, the files can be "pushed" directly to it, i.e. uploaded.

for all common operating systems(also as an app for mobile devices).

  • As a university employee, you can independently increase the storage volume to 500 GB (unfortunately, this offer does not apply to students).
  • Go to the sciebo homepage at https://hochschulcloud.nrw
    the My.Sciebo area.
  • Select "University of Siegen" as your institution.
  • Log in on the page "Shibboleth-Identity-Provider" with your university user ID(not with the sciebo ID).
  • Select the menu item "Increase volume".

    For more than 500 GB of storage space, you must apply for a project box (see below).

  • Project boxes can only be applied for by university employees. Students require a supervisor at the university to apply for and manage the project box. This also applies to student initiatives.
  • Project boxes are not released for functional addresses.
  • When applying for the project box, an additional email address of a person involved in the project can optionally be specified. Notifications will also be sent to this email address, for example if the owner of the project box can no longer be reached (see below).
  • On the sciebo homepage, go to https://hochschulcloud.nrw
    the My.Sciebo area.
  • Select "University of Siegen" as the institution.
  • Log in on the page "Shibboleth-Identity-Provider" with your university user ID(not with the sciebo ID).
  • Select the menu item "Project boxes: Request project box" and follow the instructions.

  • If you leave the university or the project but want to keep the project box, you must reassign the box in good time:
  • On the sciebo homepage at https://hochschulcloud.nrw
    select the My.Sciebo area.
  • Select "University of Siegen" as the institution.
  • Log in on the page "Shibboleth-Identity-Provider" with your university user ID(not with the sciebo ID).
  • Select the menu item "Project boxes: Manage project box". Place a check mark in front of the relevant project box on the left and select the "Change owner:in" button at the bottom of the page.
  • Enter the person's currently valid work email address. The person must be a member of the University of Siegen.
