Video conferencing system

Webex is a comprehensive suite for video conferencing, online meetings, webinars, file sharing and team collaboration.

To support general communication and collaboration, the University of Siegen provides the Webex video conferencing and collaboration solution by Cisco Systems.

The Webex campus license is available to all members of the University of Siegen with an active ZIMT account.

NOTE: The use of Webex is only permitted for official use. Please also note the data protection information on the use of Webex at the bottom of the page.

Requirements

  • Active ZIMT account and booked Webex service
    (university user ID with corresponding password)
  • Webcam / microphone

Log in to the user account administration (s. button below) and then book the setting in the "...My options..." section:

 

 

The booking process takes approx. 30 minutes. You will receive a notification by e-mail. The e-mail address displayed during the booking process will give you access to the Webex platform https://www.webex.com/de via browser or app. During the registration process, you will be taken to the university's own login page, where you can authenticate yourself with the ZIMT ID, as previously in the user account administration.

General information

  • The Webex campus license is available to all members of the University of Siegen with an active ZIMT account

  • Logging in via the Webex page or the Webex app does not work immediately after booking Webex via the user account management (NKV). The booking is time-controlled every 30 minutes. You will receive an e-mail from Webex. You can then log in to Webex.
  • Check in the NKV whether Webex has been booked.
  • Change your booking.
  • Wait until you have received the e-mail. After receiving the e-mail, log in with the e-mail address displayed in the NKV.
  • Possible reason: Blocking of the user account.
  • Delete all cookies.

In general, calendar data for the future 30 days and the past 7 days are synchronized if you have booked calendar synchronization. If you no longer want synchronization at a certain point in time and uncheck this option in the user account management, the calendar display "grows out" after 31 days.

After Webex has been deselected via the NKV, it takes another 30 days for the entry to be deleted from the Webex platform.

  • Before the "Share" function (button) can be displayed in meetings in Webex for Linux, e.g. in Ubuntu, the so-called Wayland protocol may have to be deactivated beforehand The X11 protocol is used instead. To do this, the relevant configuration file is opened for editing with
sudo nano /etc/gdm3/custom.conf
  • In the "custom.conf" file, the entry commented out by "#" is activated by deleting the "#" character.
  • Save the file with "^O" and exit the editor with "^X"
  • Then restart Linux and open Webex. In a meeting, the button for sharing content should then appear directly next to the "End video" button.

Log in to Webex and select "Schedule a meeting" and "Prepare a meeting". There, under "Meeting type" (directly accessible in the web view or via the Webex app under "Advanced settings"), set the type to

 

"Webex Meetings Pro-End to End Encryption_VOIPonly"

 

Note: These settings deactivate all Webex Assistant functions such as subtitles, highlight, transcription, etc. for the meeting with end-to-end encryption.

 

The settings can also be selected on a user-specific basis via the Webex website in the "Settings" area under "Planning" as the default setting for all meetings. Meetings that are then scheduled using "@meet" are then automatically end-to-end encrypted.

  • The meeting has not yet been started by the host: The host / co-host has to start the meeting first
  • or meeting is locked (waiting in the lobby). The waiting time in the lobby is 30 minutes.

The chat feature is on the Cisco To Do list of upcoming feature enhancements. It is not yet known when this feature will be implemented.

However, to take part in the chat function on Linux right now, you can open a browser session in the meeting via the app parallel to the Webex meeting. To prevent unwanted feedback, the audio and video devices should be blocked for this session. To visibly distinguish the sessions, it is helpful to add the suffix [Chat] to the name in the Webex session via the browser.

  • Before starting a recording, the consent of all participants must be obtained if personal rights are affected. This responsibility lies with the person who wishes to record.
  • Record a meeting in Webex.
    The recordings can also be saved in the cloud. The data is made available after the meeting at https://uni-siegen.webex.com/webappng/sites/uni-siegen/recording/home
    after the meeting.
  • Please note that the memory is limited, export your recordings locally as soon as possible and then delete them in the cloud. We reserve the right to administratively delete recordings older than 30 days from the cloud in order to ensure system stability and availability.

This option is already activated during installation. It can be changed.

  • Go to Settings, select "Device" and then click on Advanced settings.
  • To prevent Webex from starting unintentionally when you log on to the computer, you can uncheck the box.
  • Open "Settings..." in "Outlook for Mac" in "Legacy Mode" and select the "Enable optional connected experiences" function under "Privacy".
  • Then close Outlook and restart it. A "Retrieve add-ins" button appears in the standard view.
  • If an Exchange mailbox is configured via the Exchange standard connection (connector), clicking on the button branches to the Webmail (OWA) settings and the "Manage add-ins" item.
  • If the add-in "Cisco Webex function for attaching" is not available or not activated, it can be activated there or added via the item "More add-ins for Outlook can be found in the Office Store...". After closing and restarting Outlook, the function should be available as a button in the window of the appointment to be scheduled.

You can find your meeting list on your personal WebEx page:

  • Log in to Webex.
  • Under the "Calendar" menu item, you will find both your upcoming and completed meetings. There you also have the option of filtering by time period, meeting/webinar

You can filter the display as a list, day, working week or week in the calendar view.

  • Enter the name in the search mask and select it from the search list.
  • For external participants, the full e-mail address must be entered, provided the person has a Webex account.

After registering, Webex users have the opportunity to exchange information via the Cisco Community
and, for example, pass on missing or not optimally developed functions and solutions in future versions of the software to the manufacturer. This is done by actively participating in the forum posts or by agreeing to an existing feature request or bug fix post with the "I have this problem too" function. Future developments will be weighted accordingly.

When Webex was introduced, it was decided in consultation with the data protection officer and the CISO of the university to transfer the e-mail address and the first and last name as an attribute when registering for the service (see consent to data transfer in the NKV).

When booking the Webex service, you will be asked once to give your consent to the transfer of your first name, surname and e-mail address.

Important:

  • In rare cases, users who already have a Webex account with their university e-mail address may experience unexpected side effects. This relates to the internal administration of accounts at Webex and must be checked on a case-by-case basis.
  • If you do not agree to the transfer of your e-mail address, first name and surname to the service, you cannot use it! Technically, Webex does not allow any other option here.
  • Users who use the free registration process to create a profile with an e-mail address of the form

    • ...@uni-siegen.de
    • ...@student.uni-siegen.de
    • ...@zv.uni-siegen.de

    must change the e-mail address.
